Meeting services

Due to space limitations, the Secretariat is not in a position to accommodate requests for meeting space for use by Member States or Regional Groups within the building. States/Regional Groups are encouraged to arrange for their own meeting space needs in surrounding facilities. Inquiries on the availability of exhibition space and potential sponsorship of specialty coffee breaks within the ICAO Headquarters conference area, should be directed to BusinessDevelopment [at] icao.int (BusinessDevelopment[at]icao[dot]int).

The Organization is not able to provide office accommodation for delegations attending the Assembly. It is suggested that those delegations requiring office space specify their requirements to their selected hotels when making room reservations.

Internet facilities

The ICAO Assembly Hall and meeting areas are equipped to offer Internet connectivity through a wireless network for attendees who bring their own portable computers with wireless capability. Using the public wireless network, users with computer equipment having wireless capabilities compatible with WiFi 802.11b/g/n/ac/ax will have access to the Internet. Specifications for ICAO’s public wireless network are outlined below:

Under normal circumstances, users of Windows 10 will not have to set any special configuration parameters.
 

Printing Services

While the Assembly will be conducted as a paperless event, the Organization offers printing services of non-Assembly material on a cost recovery basis. During the Assembly period, ICAO will offer printing services for items such as business cards, promotional items and posters. It should be noted however that the distribution of printed material or any other items in the Assad Kotaite Conference Centre is strictly prohibited.

Staff Association Boutique

We would like to invite you to visit our Boutique located on the first floor of the Assad Kotaite Conference Centre, which will be open starting on 22 September 2025 to 3 October 2025 from 12:00 to 14:00.

Cafeteria

The ICAO Cafeteria, located on the fifth floor of the Office Tower will be open daily between 07:00 and 16:00, Monday to Friday and between 07:00 and 14:00 on Saturday 27 September and Sunday 28 September 2025.

Commissariat

The ICAO Commissariat will be open on Monday to Friday between 11:30 and 14:30, and between 16:30 and 17:30, offering duty-free products to eligible Delegates attending the A42. Eligibility to purchase products from the Commissariat is limited to Delegates entitled to appropriate fiscal privileges.

Simultaneous Interpretation Equipment

In the conference rooms with interpretation service, on top of the table you will find an audio control unit. The language selector gives you the choice of language:
