EUROPEAN REGIONAL RUNWAY SAFETY SEMINAR
GENERAL INFORMATION
 
1. Venue and Languages
According to the understanding reached between the Russian Ministry of Transport and ICAO, a
European Regional Runway Safety Seminar will be held in Moscow, Russian Federation, from
November 6-8, 2012. The location will be:

The Symposium will be conducted in the Russian and English languages. Simultaneous translation will be provided.
 
2. Registration of participants
The participants are requested to register at the Registration desk in the hotel lobby between 08.00 and 09.00 hours on the opening day of the Seminar. The participants are requested to wear their identification badges at all times.

4. Visa Requirements
Visitors are required to obtain an entry visa before travelling to the Russian Federation. The
participants of the Symposium are requested to contact Russian Embassies in their respective States to get full information with regard to visa requirements.
In order obtain the Invitation Letter to support your visa application, please send the completed
Application Form and a good copy (actual size) of the main pages in your passport to the International Airline Transport Association (IATA) by e-mail with copies to those indicated

After receiving the Invitation Letter with the respective Reference Number by e-mail you should
proceed to apply for the visa at the Russian Embassy in your respective State. I shall be grateful if
you would initiate this process at your earliest convenience and in any case no later than 28
September 2012.
 

 

Alternatively, a visa can be arranged through the Novotel hotel for participants who will be staying

 

there. The Novotel would need 3 banking days to release the invitation and it would only be for a
tourist visa. Please note that for this service the Novotel will have to charge at least one night accommodation regardless if the person receives the visa and is able to attend.

Requests are submitted to the Ministry of Transport that in its turn need to request Ministry of Foreign Affairs (MFA) to issue relevant invitation telexes. Due to complicated procedures they plan to collect all visa application request and all to MFA only on October 22-23, 2012. It usually takes 1-2 days after for MFA to release telex. So you can plan to go to relevant Russian embassy or consulate starting October 25, 2012. Then it can take 2-3 days to get the visa if you apply for urgent issue (additional fees apply) or maximum 5 days typically. Hence visas should be ready October 30-31, 2012.
 
If you are travelling or simply uncomfortable with those terms please note that you can apply for tourist visas and if staying in Novotel we can help you here as well. So if you booked Novotel and plan to apply for tourist visa then please see attached form that should be completed and sent back to me. The application should be accompanied with both scanned sides of your credit card.
 
PLEASE NOTE THAT IF APPLYING THROUGH HOTEL YOU WILL HAVE TO PAY AT LEAST ONE NIGHT ACCOMODATION AS PER RUSSIAN LEGISLATION EVEN IF VISA IF REFUSED OR HOTEL IS CANCELLED DUE TO OTHER REASONS.

6. Transportation

 

Moscow is known for its three international airports: Sheremetyevo, Domodedovo and Vnukovo.
All related information can be found at: www.svo.aero, www.domodedovo.ru, www.vnukovo.ru.
All nine Moscow railway stations are located in the vicinity of the city downtown. Metro is
considered the most convenient means of transportation (one way trip costs approximately 1 USD),

7. Currency:

 

The Russian currency is ruble. The exchange rate is: 1 US $ = 30 rub. (subject to fluctuation). It is
highly recommended to exchange money in banks and special currency exchange offices.
