Seating Arrangements

The Seating plans will be displayed at the conference rooms’ doors. Meeting attendants will be available to guide Chief Delegates and their accompanying delegates to their allocated seats. The Suggested Schedule is published here and will be displayed on digital screens throughout the Conference Centre.

 

Formal Opening Plenary and Seating Arrangements in the Assembly hall

 

Seating arrangements for the Plenary meetings are based on the number of participating Member States, the size of their registered and accredited delegations (confirmed by 31 August 2019, as per the State Letter SA 40/1 − 19/24) and the capacity of the Assembly Hall. Two seats will be allotted to Observer delegations who have confirmed their attendance by Friday 20 September 2019 (one at the table and one behind). Some additional seats are available to International Organizations in the Galleries located on the fifth floor of the Conference Centre. International Organizations’ observers and other participants are also invited to view the opening proceedings in the Roberto Kobeh Room (CR 3) which is fully interactive with the Assembly Hall and monitored by the Chairperson of the Meeting. Executive Committee, Technical and Legal Commissions in the half Assembly hall (CR 1 or CR 2)

 

Two seats will be allotted to each Member State delegation who would have confirmed their attendance the day before the opening of the Assembly (one at the table and one behind). Please note that there are not enough seats to accommodate all Observer delegations due to the limited capacity of the rooms. Therefore, a maximum of one seat per Observer delegation may be allotted on a first-come, first-served basis in the Gallery located on the fifth floor of the Conference Centre. Technical Committee meetings will be broadcasted (English only) in Conference Room 5 (CR 5). For Webcasting availability, please refer to the ICAO Livecast schedule.

 

Legal, Economic and Administrative Commissions in the Roberto Kobeh Room (CR 3)

 

One seat at table is be allotted to each Member State delegation. Please note that there are not enough seats to accommodate all Observer delegations due to the limited capacity of the rooms. Therefore, a maximum of one seat per Observer delegation may be allotted on a first-come, first-served basis. For Webcasting availability, please refer to the ICAO Livecast schedule here.

 

Documentation and personal items left in Conference Rooms

 

Participants are advised that, since the seating configuration may be changed from time to time, and that conference rooms will be used by different bodies, documentation and other personal belongings must not be left in conference rooms. Room will be cleared and cleaned at the end of each day: any paper will be disposed of for recycling and personal items will be handled to Lost and Found (Security desk).

 

In addition, Delegates are also requested not to leave any suitcases or personal belongings in the Conference Rooms or with the attendants, for security reasons, as ICAO will not be held responsible for any loss of such items. Unattended belongings will be reported to the Security desk in the main lobby.
